Short answer

A press release follows the same order whatever the news: a headline with the fact, a dateline, a first paragraph that answers who, what, when, where and why, one quote that adds a view, a boilerplate and a media contact. The ten examples below apply it to launches, funding, hires, events, crises and more.

Each example is a complete release you can copy, followed by what to notice. The companies, people and numbers are invented (the web addresses end in .example), so nothing here is someone else's news. Three of them tell the same stories as our media pitch examples, so you can see the pitch and the release side by side.

The format all ten follow

Headline: the news in one line, with a number if you have one
Subheadline: the detail that makes it matter (optional)

CITY, State, Month Day, Year -- First paragraph: who did what, when,
where, and why it matters.

1. Product launch press release example

Pilot with three regional carriers caught 83 brake problems across
1,240 trucks in six months

SAN FRANCISCO, Oct. 14, 2026 -- Tallyfleet, which makes maintenance
software for trucking fleets, today released Brake Watch, a feature
that spots worn brakes from the data trucks already send and tells
mechanics which vehicles to check first. It is available now to all
Tallyfleet customers at no extra cost.

Brake Watch compares each truck's braking data with that truck's own
history. When stopping patterns drift, the vehicle goes on the
mechanic's list for the day, with the data behind the alert.

In a six-month pilot with three regional carriers operating 1,240
trucks, Brake Watch flagged 83 trucks whose brakes were confirmed to
need repair before their next inspection.

"We used to find brake wear when a truck failed an inspection, which
is the most expensive way to find it," said Luis Ortega, maintenance
director at Ridgeline Freight, one of the pilot carriers. "Now my
mechanics start the day with a short list."

Brake Watch works with the telematics units Tallyfleet already
supports and needs no new hardware.

  • The headline says what launched and what it does, in plain words. The subheadline carries the number.
  • The first paragraph answers who, what, when and for whom, and ends with availability and price.
  • The quote comes from a customer, not the CEO, and says what no fact can: how the work changed.

2. Funding round press release example

AUSTIN, Texas, Oct. 6, 2026 -- Brightwell, which builds routing
software for school bus fleets, today announced an $8 million Series A
led by Harbor Road Ventures, with participation from existing
investors Northfield Capital and Anchor Seed. The money will fund
tools that keep routes running when districts are short of drivers.

Brightwell plans bus routes around each day's actual ridership
instead of fixed schedules. Across the 214 districts that used it in
the 2025-26 school year, average ride time fell by 11 minutes.

Four in ten Brightwell customers say they cannot staff every route.
The new tools will merge routes automatically when drivers call in
sick and alert families before the bus leaves the depot.

"The routes were designed for a pool of drivers that no longer
exists," said Keisha Grant, co-founder and CEO of Brightwell. "This
round pays for fixing the planning side of the shortage."

"Districts renew Brightwell without being chased, which is rare in
education software," said Owen Hale, partner at Harbor Road Ventures,
who joins Brightwell's board.

Brightwell has raised $11 million to date and plans to double its
engineering team to 30 people by the end of 2027.

  • The headline leads with the amount and what the money is for, not with the investors.
  • Everything a funding reporter checks is there: amount, stage, lead investor, other investors, total raised, use of funds.
  • Two quotes with different jobs. The CEO explains the problem, the investor explains the bet. Neither repeats a number.

Survey of 1,050 owners finds insurance, not staffing, is now the main
reason for shorter hours

CHICAGO, Sept. 30, 2026 -- Sixty-two percent of independent restaurant
owners in the United States cut their opening hours in 2026, according
to a survey of 1,050 owners released today by Mise, a restaurant
management software company. Most named insurance costs as the main
reason, ahead of staffing.

Key findings:
- 62% of owners reduced opening hours this year; 21% now close at
  least one weekday.
- 54% named insurance costs as the main reason, against 29% who
  named staffing.
- Owners in the Midwest were twice as likely as those in the
  Northeast to drop Sunday service.
- Restaurants that cut hours reported lower revenue but higher
  margins than those that did not.

"Two years ago every owner told us hiring was the problem," said Alex
Moreau, head of research at Mise. "Now they can hire, but the
insurance renewal eats the profit from the late shifts."

Methodology: Mise surveyed 1,050 owners of independent restaurants
(fewer than five locations) in all 50 states between Aug. 4 and

  • The headline is the finding. A data release is news only if the number is.
  • Findings as bullets, because reporters lift them straight into their stories.
  • The methodology gives the sample, the dates and the definition. Without it, serious outlets will not use the figures.

5. Executive hire press release example

Northbeam Health names Rachel Owens chief financial officer ahead of
expansion to 12 states

NASHVILLE, Tenn., Nov. 3, 2026 -- Northbeam Health, which runs home
dialysis programs for rural patients, today named Rachel Owens chief
financial officer, effective Nov. 17. Owens was previously finance
director at a national medical supply distributor, where she ran the
finances of its home care division for seven years.

Owens joins as Northbeam prepares to grow from five to 12 states by
2028. She will lead finance, payer contracts and reporting to the
board.

"Home dialysis only works if the reimbursement side works, and Rachel
has spent her career on exactly that," said Dr. Samuel Ade, CEO of
Northbeam Health.

"Rural patients shouldn't have to drive two hours, three times a
week, for treatment," said Owens. "Getting the economics right is how
that changes."

Owens succeeds interim CFO Mark Diaz, who stays on as vice president
of finance.

6. Partnership press release example

Starting Nov. 1, FreshPath customers in Oregon and Washington can
drop Loopcart containers at any register and get their deposit back
on the spot

PORTLAND, Ore., Oct. 20, 2026 -- Loopcart, which runs a reusable
container service for grocery deliveries, and FreshPath, a grocery
chain with 40 stores in Oregon and Washington, today announced that
shoppers will be able to return Loopcart containers at FreshPath
checkouts from Nov. 1.

Until now, Loopcart customers had to schedule a pickup to return
containers, and one in three containers came back more than a month
late. Returns at the register take seconds, and the $2 deposit per
container is refunded at once.

"Our customers asked for one thing: let me bring them back when I'm
already at the store," said Priya Nair, CEO of Loopcart.

"Half our shoppers already bring their own bags," said Dan Whitaker,
chief operating officer of FreshPath. "This is the next step, and it
costs them nothing."

The service will be available in all 40 FreshPath stores from Nov. 1.

7. Acquisition press release example

Kestrel Analytics acquires Tidewater Labs to add fraud detection for
regional banks

CHARLOTTE, N.C., Nov. 12, 2026 -- Kestrel Analytics, which provides
risk software to 180 regional banks and credit unions, today announced
that it has acquired Tidewater Labs, a fraud detection company based
in Baltimore. Terms were not disclosed.

Tidewater's software, used by 45 banks, detects fraudulent wire
transfers before they are sent. Kestrel will add it to its risk
platform in the first half of 2027. Tidewater customers keep their
current contracts and support team, and all 38 Tidewater employees
will join Kestrel.

"Our customers kept asking us for fraud detection they didn't have
to integrate themselves," said Maria Lopez, CEO of Kestrel Analytics.
"Tidewater built the best one we tested."

"Joining Kestrel puts our software in front of four times as many
banks," said Ben Carter, co-founder of Tidewater Labs, who becomes
Kestrel's head of fraud products.

  • "Terms were not disclosed" is a normal line. Say it rather than leave reporters guessing.

8. Award press release example

Ashgrove Architects' Carver Library renovation wins state

The 1911 library reopened in March with twice the reading space and
full step-free access

HARTFORD, Conn., Sept. 18, 2026 -- The renovation of the Carver
Public Library in New Milton, designed by Ashgrove Architects, has won
the 2026 Award for Adaptive Reuse from the state historic preservation
council, announced Thursday.

The 1911 building had been closed to the public on its upper floor
for 30 years because it had no elevator. Ashgrove added a glass lift
shaft at the back of the building, opened the upper reading room and
restored the original skylight. Visits have doubled since the library
reopened in March.

"We didn't want the new parts to pretend to be old," said Ruth Chen,
partner at Ashgrove Architects. "You can see exactly where 1911 ends
and 2026 begins."

  • The awarding body and the category are named exactly, so the reporter can check them.
  • The quote gives a design opinion instead of saying the firm is "honored".

9. Press statement (crisis) press release example

STATEMENT FROM PAYLANE ON THE OCT. 2 PAYROLL DELAY

Oct. 3, 2026

On Friday, Oct. 2, a failed update to our payment system delayed
payroll for 1,240 small businesses using Paylane. Their employees
were paid between four and nine hours late. No data was exposed.

The problem was fixed at 6:10 p.m. Eastern time on Oct. 2, and all
payments had reached employees' banks by 11 p.m.

We are sorry. Paying people on time is the one thing our customers
rely on us for, and we did not do it.

Every affected business will be refunded this month's Paylane fee,
and we will cover any bank charges their employees paid because of
the delay. Customers can claim them at paylane.example/oct2 until
Nov. 30.

We will publish what went wrong and what we are changing by Oct. 10.

  • A statement is the company speaking, not a story: no headline spin and no invented quotes.
  • In order: what happened, who was affected, what is fixed, the apology, what you will do for people, when the next update comes.
  • The apology is one plain sentence, without "we regret any inconvenience".

10. Local business news press release example

FOR IMMEDIATE RELEASE

Crumb & Co. opens a second bakery on Mill Road with 12 staff hired
through the county re-entry program

RIVERTON, Ohio, Oct. 27, 2026 -- Crumb & Co., the bakery on 5th
Street, will open its second shop at 212 Mill Road on Tuesday, Nov. 3.
Twelve of the 18 people hired for the new shop came through the
county's re-entry job program.

The new staff trained for six weeks at the 5th Street bakery, where
they learned bread, pastry and the morning rush. Three of them will
run the Mill Road kitchen.

"I hired people who showed up at five in the morning for six weeks
straight," said Nadia Brooks, who founded Crumb & Co. in 2019. "That
tells me more than any CV."

The Mill Road shop opens at 6:30 a.m., Monday to Saturday. The first
100 customers on Nov. 3 get a free loaf.

  • All twelve have a quote, and eleven an "About" paragraph. The exception is the Alaska Airlines crisis page, which is a statement, not a release.
  • Four of the twelve give no media contact on the page (Motorq and Subaru, TripleLift, Apex Dental Partners, the Red Cross). A reporter on deadline who cannot reach anyone moves on.
  • Length: leaving out the Alaska Airlines page, they run from 260 to 1,030 words, with a median of 580. Our examples above are shorter on purpose, because they keep only what a journalist needs to judge the story.

What the good examples have in common

Journalists read releases the way they read pitches: fast, and looking for relevance. In Muck Rack's State of Journalism 2026, the elements they value most in what PR sends them are relevance to their beat, access to sources, original research or data, and high-resolution images (Muck Rack release, March 2026). Every example above offers at least two of the four.

Sending a release once it is written

A release nobody receives is a web page. There are two ways to get it read: a newswire, which publishes it on partner sites and financial terminals, or direct outreach to the journalists who cover your subject. Wires are required for regulated disclosures and cost from about 150 USD to several thousand per release (see our press release cost guide). For everything else, a short pitch to the twenty reporters who cover your subject is often worth more than a wire, and that is what PressPilot is built for.

What are the parts of a press release?

Release line (for immediate release, or embargoed until a date and time), headline, optional subheadline, dateline, lead paragraph answering who, what, when, where and why, body with evidence, one or two quotes, boilerplate (the "About" paragraph), media contact, and the ### end mark.

How long should a press release be?

Real releases sent on the wires run long: the eleven we read in September 2026 went from 260 to 1,030 words, with a median of 580. The news itself should fit in 300 to 400, which is where our ten examples sit or below. Length also costs money on some wires: Business Wire charges 195 USD for every 100 words beyond the first 400 (Prezly, verified August 2026).

What is the difference between a press release and a press statement?

A press release announces news in the third person, with a headline, quotes and a boilerplate. A press statement is the organization speaking directly, usually in response to an event: what happened, what it is doing, and when it will say more. See the Paylane example above.

What does ### mean at the end of a press release?

It marks the end of the release, so an editor knows nothing is missing. Some organizations write -END- or -30- instead. Anything after it, such as notes to editors, is not meant for publication.

What is a media advisory?

A one-page notice that invites journalists to an event. It lists what, when, where, who and what they can film or photograph, and asks them to reply by a date. It is sent a few days before the event; the full press release goes out on the day.

Can I copy these press release examples?
